


The Decise platform has been built with a fixed group of Roles that determine access, rights and permissions. You will need to familiarise yourself with the Decise Roles so that the correct access may be given to each employee within your Organization.
Decise Roles:
- Creator
- Collaborator
- Manager
- Approver
- Administrator
- Participant
A Creator is a role given to members within a Team / Department / Decision Group who are responsible for starting and organising the decision creation process. The Creator has the smallest level of access. They can create decisions that are within their Decision Group and can contribute to decisions of others if they have specifically been invited to them.
For example, Griffin is an Operations Administrator who works in the Operations Team. Griffin has been assigned the Decise role of a Creator. He is responsible for documenting any new initiatives that the Operations Decision Group is proposing to management. Griffin can prepare the entire decision, however once he publishes it for his Manager to review, Griffin no longer can edit the decision.

The Collaborator role has the equivalent level of access as the Creator role, however is designed to be used for members that are not formally part of a Decision Group, however are required to contribute to decisions in the organisation as and when required.
For example, Jaxon is a Management Accountant who works for the Finance Team. Jaxon has been assigned the Decise role of a Collaborator. Jaxon is not part of the Operations Decision Group and therefore does not have access to the decision that Griffin has recently created. However, Griffin has decided on this particular decision, he needs the help of finance and therefore has invited him to be a contributor on this decision. Jaxon can now view and edit the decision like Griffin can. Once Griffin publishes the decision, Jaxon too is locked out of the decision.

The role of a Manager is to prepare the decision ready for approval. The Manager role has the ability to re-open a decision back to draft ("Open") for further editing. They can make edits to a published decision, prior to submitting it for approval. A Manager can submit the decision for approval. Approvers can be added at any time prior to 'submission', and at least one Approver needs to be present prior to submission.
For example, Beck is the Operations Manager who will be reviewing and collaborating on the decision created by Griffin. Beck reviews the decision and ensures that she is happy with it. Beck's colleague Sarah, who is also a Manager in the Operations Team, has access to the decision (because she is in the same Decision Group as Beck) and has been collaborating closely with Beck on it. Beck and Sarah invite another Manager from IT to collaborate on this decision. Once Beck submits the decision to her boss, she and every other Manager is locked out of the decision as it is pending approval.

The Approver role has the ability to decide on whether a decision should be accepted or rejected. Decise has a three-tier approval hierarchy. Meaning you can be appointed as Approver #1, Approver #2 or Approver #3. Not all 3 Tiers need to be used for every decision; however, a decision can have a maximum of 3 Approvers. An Approver #1's decision verdict can be overruled by Approver #2. Similarly Approver #2's verdict can be overruled by Approver #3.
For example, Talia is the Chief Operating Officer and she has been assigned as Approver #1 on the decision created by the Operations Decision Group. Mark, the CEO has been assigned as Approver #2 on this decision. Finally, Bianca, the Chairman of the Board of Directors has been assigned as Approver #3 as this decision requires Board approval. Once Beck submits the decision, Talia is able to view the decision and make any modifications to it, prior to Accepting it or Rejecting the decision. Talia can also re-open the decision to ask her team to work on it more. Once Talia makes a decision, it is Mark's turn to decide. Then after Mark has decided, Bianca makes the final decision knowing Talia and Mark's input.

The Administrator role has the highlest level of access to all areas of the Decise platform, including subscription management. They are not however automatically granted Approver rights. An Administrator, like any other User must be specifically assigned as an Approver to a decision for them to have the power to decide on the decision. The Administrator is able to support other Users if they get stuck in the system. There must be at least one Administrator appointed to the Decise account.
For example, Sienna is the Executive Assistant to Mark and was the member that originally created the Decise account. Sienna is automatically the allocated the Decise Role of Administrator. Sienna can choose to assign other people in the organisation as Administrators as well, and unassign themselves as one, if she was ever to leave the organisation or if her role changes.

The Participant role in Decise is reserved for Users outside of your organisation. These are guests you invite to your Decise account as contributors towards a specific decision. They have the least rights of all the Decise roles. They only have access to specific parts of a decision you give them access to. You can remove a participant anytime from your account.
For example, Beck and Griffin are working on an M&A project decision and would like the external company accountant and lawyer to contribute to this business case. Niko, the accountant is invited to participate in the financial section of the decision and the lawyer is invited to participate in the risk and governance area of the decision. When the accountant and lawyer receive an invitation from Beck and Griffin, they sign up for a free Decise account first, and then they are immediately given access to this M&A decision. They can provide responses and make comments to people in the organisation. Once the decision has been published, they can view the decision and dashboard, but they are locked out of the decision from that point.

Users can be assigned multiple roles simultaneously in Decise. A Manager can also be an Approver, a creator can also be a Manager etc.
The permissions allowed from each respective role are simply combined for that User.
